Privacy Policy

This Privacy Policy explains how ProfitMineAI collects, uses, stores, and shares information when you visit our website, join our early-access program, upload a supplier list, or contact us. We've tried to write it plainly and to describe only what we actually do.

1. Who we are

ProfitMineAI ("ProfitMineAI," "we," "us," or "our") is operated by Vairo Systems LLC, a business organized in the State of Wyoming, USA. For the purposes of applicable data protection laws, Vairo Systems LLC is responsible for the personal information described in this policy. ProfitMineAI is an early-access product in development. It is an independent product and is not affiliated with, endorsed by, or sponsored by Amazon.

2. Information we collect

Information you give us

  • Email address. Required to submit a supplier list, so we can confirm receipt and contact you about early access.
  • Supplier files. The CSV file you upload, its original filename, and basic technical details we derive from it (file size, number of rows and columns, character encoding, and delimiter). Supplier files typically contain business information such as product descriptions, UPC/EAN codes, brands, case packs, and wholesale costs. Please don't include personal information about individuals in the files you upload.
  • Consent records. Whether you accepted our Terms of Use and acknowledged this Privacy Policy (and which versions), whether you opted in to marketing emails, and when.
  • Contact form messages. Your name, email address, subject, and message when you contact us.

Information collected automatically

  • Abuse-prevention data. When you submit a form, we store a one-way, salted hash of your IP address and your browser's user-agent string with the submission. We use these to detect spam and abuse; we do not store your raw IP address with submissions. Our servers also temporarily process IP addresses in memory to enforce rate limits.
  • Server logs. Our hosting provider may keep standard request logs (such as IP address, time, and requested page) for operation and security.

3. How we use information

We use the information we collect to:

  • receive, store, and review your supplier list and provide the early-access service you request;
  • send you a confirmation that your submission was received and follow up with next steps;
  • respond to your questions and support requests;
  • evaluate demand for, develop, and improve ProfitMineAI;
  • send product news and promotional emails, only if you opted in;
  • protect the service against spam, fraud, and abuse; and
  • comply with legal obligations and enforce our Terms of Use.

Where the law requires a legal basis for processing, we rely on: performing the service you requested (handling your submission); our legitimate interests (operating, securing, and improving our service, and understanding demand); your consent (marketing emails, which you can withdraw at any time); and compliance with legal obligations.

4. How supplier data is used

You keep ownership of the supplier files you upload. We use them to provide the early-access service you requested, to review your submission and follow up with you, and to evaluate and develop ProfitMineAI's analysis capabilities (for example, understanding common supplier file formats). We do not sell your supplier files, and we do not share them with other users, suppliers, or your competitors.

During early access, we use your file to prepare the free analysis report you requested. If we begin using your file in a materially different way, we will update this policy and, where required, ask for your consent.

5. File storage and access controls

  • Uploaded files are stored in private server-side storage that is not served to the public web.
  • Each file is saved under a randomly generated identifier rather than its original filename.
  • Files are never displayed to other website visitors.
  • Notification emails sent to our team contain an internal storage reference to the file — not a publicly accessible link.
  • Access to stored submissions is limited to personnel who need it to operate the early-access program.

6. Third-party service providers and integrations

We use service providers that process information on our behalf, under contractual terms, to host the website, store data, and deliver email. These providers may have access to the information described in this policy only as needed to perform their services for us. Our current service providers are:

  • Supabase (database and file storage)
  • Vercel (website hosting)
  • IxirHost (email hosting)

We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets, in which case we will require the recipient to honor this policy.

7. Whether data is processed by external AI services

During the current early-access program, uploaded supplier files are not sent to external AI services. If we begin using external AI providers to analyze uploaded files, we will update this section to name them before doing so.

8. Data retention and deletion

We keep submissions, uploaded files, and contact messages for 12 months after your submission, unless you ask us to delete them sooner or we need to keep certain information longer to comply with legal obligations, resolve disputes, or enforce our agreements. Consent records may be kept for as long as needed to demonstrate the consent was given.

You can ask us to delete your submission at any time by contacting support@profitmineai.com. When we delete data, we remove it from our active systems; residual copies may remain in backups or service-provider systems for a limited period until they are overwritten in the normal course.

9. Marketing consent

Marketing emails are optional and separate from your supplier-list submission. We only send product news, launch updates, and promotional emails if you checked the marketing box. You can withdraw consent at any time by using the unsubscribe link in any marketing email or by contacting us. We will still send service messages related to your submission (such as the receipt confirmation and early-access follow-up).

10. Analytics and cookies

This website does not use advertising cookies or cross-site tracking. We also record aggregate, first-party funnel events (such as "file selected" or "form submitted") consisting only of the event name, page path, and time — never your email address, filename, or file contents. Because we don't set non-essential cookies, we don't display a cookie consent banner. If we introduce tools that use cookies or similar technologies, we will update this policy and ask for consent where required.

11. International data transfers

We and our service providers may process and store information in countries other than the one where you live, including the United States. Where we transfer personal information from the United Kingdom or European Economic Area, we will rely on an appropriate transfer mechanism recognized by applicable law, such as standard contractual clauses or the UK International Data Transfer Addendum, where required.

12. Your privacy rights and requests

Depending on where you live, you may have the right to: access the personal information we hold about you; correct inaccurate information; request deletion; object to or restrict certain processing; receive a copy of your information in a portable format; and withdraw consent at any time (without affecting processing that already occurred). Residents of certain US states may also have the right to know what personal information we collect and to not be discriminated against for exercising their rights. We do not sell personal information or share it for cross-context behavioral advertising.

To make a request, contact support@profitmineai.com from the email address you used, or tell us that address so we can locate your data. We may need to verify your identity before acting on a request. If you are in the UK or EEA, you also have the right to lodge a complaint with your local data protection authority.

13. Data security measures

We use reasonable measures designed to protect information, including:

  • storing uploaded files outside any publicly accessible directory, under random identifiers;
  • server-side validation of uploaded files, with file type and size limits;
  • rate limits and spam protection on our forms;
  • hashing IP addresses stored with submissions rather than storing them in raw form; and
  • keeping credentials and secrets in environment configuration rather than in source code.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your information has been compromised, please contact us right away.

14. Children

ProfitMineAI is a business tool intended for adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.

15. Policy updates

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date and version at the top of this page, and if the changes are material, we will provide additional notice (such as by email). Each submission records the policy version in effect when it was made.
